Privacy Policy - Aeroflot Ticket Agency

Effective Date: April 30, 2024

This Privacy Policy outlines how Aeroflot and its related entities (referred to as “Aeroflot,” “we,” “our,” or “us”) gather, use, manage, and share your personal information. It applies to anyone who uses or visits any of our digital platforms—such as our websites (including Aeroflot, momondo, HotelsCombined, SWOODOO, Cheapflights, checkfelix, Mundi, and roomsearch), mobile apps, social media accounts, or other online services (together, the “Services”). The Aeroflot company responsible for handling your data depends on which service you use. Your use of our Services is also governed by our Terms and Conditions.

As a global travel search platform, Aeroflot connects you with third-party travel providers offering flights, hotels, car rentals, travel packages, and insurance. To do this, we may share your personal data with these providers—including airlines, hotels, car rental companies, online travel agencies, and others (collectively known as “travel partners”).

Aeroflot is part of Booking Holdings Inc., which also owns Booking.com, Agoda, Priceline, OpenTable, and Rentalcars.com. We sometimes share and receive personal data within this group of companies to improve our services.

For details on how your information is shared, refer to the “How We Share Your Information” section. Please note, this policy only covers how we handle your data—it doesn’t extend to how third parties use your information. We are not responsible for their privacy practices.

You may have rights and choices concerning your personal data, such as how it’s shared or used for marketing. Learn more in the “Your Choices and Rights” section.

Your Choices About Personal Information

You have control over your personal data. In some cases, you may choose to opt out or object to how we use your personal information. To learn more about your rights and how to exercise them, see the “Your Choices and Rights” section below.

Trips Service – How Your Travel Data Is Used

If you create an account, forward booking confirmations to us, or make reservations using our services, you’ll have access to our Trips feature. This tool collects and organizes your travel information into a personal itinerary.

  • If you send us booking confirmation emails directly, you’re allowing us to read and process them—either automatically or manually—and store both the extracted information and the original email in your Trips account.
  • If you enable email sync for Trips, you’re giving us permission to access your connected inbox(es), search for travel-related emails regularly, extract details from them, and add that to your Trips account (again, including the original emails).

As long as our email sync partners allow it, we may use this information to improve your experience—for example, by tailoring search results to your past bookings or offering travel insights. We may also use this data for marketing purposes, as described earlier.

You can share your Trips itinerary with others, but keep in mind that it may contain sensitive info—like booking codes—that could allow others to change or cancel your travel plans. Only share your itinerary with people you trust. Learn more in our Trips FAQ or by adjusting your Account Settings.

Also, if you post your itinerary publicly (like on Facebook), others can collect and use that information.

How We Communicate With You

As allowed by law, and in line with the reasons mentioned above, we may contact you through:

  • Emails, text messages, or push notifications to send updates, confirmations, receipts, alerts, and support messages.
  • Marketing messages about promotions, contests, special offers, events, and services from us or our partners.

Where the law requires it, we’ll ask for your consent before contacting you, especially if we reach out by phone, autodialed calls, or texts.

Our Role Under Data Protection Laws

Under EU and similar data privacy laws, we act as a data controller. This means we decide how and why your personal data is processed. Our travel partners (like airlines or hotel providers) also act as independent data controllers. We encourage you to review their privacy policies for more details on how they use your data.

Legal Grounds for Using Your Data

We process your information based on several legal grounds, including:

  • To fulfill our contract with you, such as completing your travel bookings.

  • To comply with legal obligations, like responding to law enforcement or regulatory requests.

  • To pursue legitimate business interests, such as improving our services, running fraud checks, and offering personalized advertising—while always ensuring that your rights are respected.

  • With your consent, where required (for instance, sending marketing messages by email or using precise location data).

You have the right to object to certain types of data processing. For more info, see “Your Choices and Rights.”

Use of Aggregate and Anonymized Data

We sometimes combine your data (with consent where required) with data from other users to create anonymous statistics. Once this data is de-identified or anonymized, it is no longer considered personal and may be used for any purpose, such as improving services or analysis.

How We Share Your Information

We may share your information in the following ways:

1. With Travel Partners

We share your details (e.g., name, contact info, passport data, preferences) with airlines, hotels, and other travel providers to complete your bookings. We share data with our group companies to deliver integrated services and for marketing purposes.

3. With Business Partners

Third-party advertisers or ad tech companies may receive your data for targeted ads or promotional messages, where allowed by law.

5. With Social Media Platforms

If you connect with us via social media or share travel plans there, your info may be shared with or collected by those platforms, based on their policies.

6. For Login Services

If you use third-party logins (like Facebook), we may share some data with that provider.

7. Reviews and User Content

9. With Service Providers

We work with third-party vendors who help us run our business (e.g., IT providers, support services, analytics tools).

10. In Corporate Transactions

If we merge, sell, or restructure the company, your data may be shared with or transferred to the involved parties.

11. For Legal or Safety Reasons

We may disclose data when required by law, or if it’s necessary to protect rights, prevent fraud, or ensure safety.

12. In Aggregate or De-Identified Form

We may share general, non-identifiable statistics with others for research or business purposes.

  • Understand how people use our platforms, so we can improve what we offer.
  • Comply with legal requirements in different regions.

You can learn more about how we share data with these companies in the Your Choices and Rights section.

Sharing with Business Partners

Our platform allows you to share your bookings, comments, and experiences on social media or with friends. You might also connect with us on platforms like Facebook. Keep in mind that anything you share can be seen and used by others. We recommend being mindful of your privacy and only sharing what you’re comfortable with. Each platform has its own privacy rules—please check with them directly for more information.

Sharing Payment Information

To process bookings, we’ll need your payment details (like your credit or debit card number). When you make a reservation, we share this information with travel partners or third-party processors (such as fraud detection services) to:

  • Complete your transaction.
  • Prevent fraud or misuse.
  • Meet our legal or contractual obligations.

If you choose to save your card for future use, we will store it securely. If you don’t, your information will be deleted once the transaction is done. For more details about payment security, check the How We Store and Protect Your Information section.

Working with Third-Party Service Providers

We sometimes rely on external companies to help us run our services. These providers might host our systems, analyze site data, help deliver marketing messages, or process payments. We only share your information with them when necessary—and only for the work they’re doing for us. They’re required to keep your data safe and use it only for the intended purpose.

How We Store and Protect Your Information

We use a range of technical and organizational measures to keep your information safe from loss, theft, or unauthorized access. For example:

  • We encrypt payment data during transmission using secure technology.

  • Only you should know your account login details—please don’t share them.

  • If you think your account has been compromised, contact us right away (see How to Contact Us).

We store your payment details only if you choose to save them. Otherwise, they’re deleted after the transaction.

While we do our best, no method of data transmission is 100% secure. If anything goes wrong, we’ll follow our legal obligations to notify you.

How Long We Keep Your Information

We keep your personal data for as long as your account is active, and for up to 5 years afterward—just in case you want to reactivate your account without starting from scratch. We may also keep it for reasons such as:

  • Legal or audit compliance
  • Handling complaints
  • Security investigations
  • Resolving disputes or enforcing contracts

When you visit or use our services, we collect data about your activity using technologies like cookies, web beacons, and similar tools. Some of these technologies are provided by third parties who may use them for their own purposes.
